As the administrative assistant you will handle confidential and sensitive information in a discreet and professional manner, demonstrate organizational skills with a high degree of attention to detail. The ideal candidate will have the ability to prioritize/reprioritize daily work, work independently, and complete work in a timely fashion as necessary. This position will be responsible for administrative and clerical support to technical staff.The Administrative Assistant reports to the Office Manager, and is expected to be available and accessible to the office during normal firm office hours and extended hours as necessary. **Please note, this position is based in our Portland, Maine office.The following responsibilities apply to this position in the Portland office:

  • Act as first point of contact for customers and clients entering the office
  • Responsible for creating monthly billing database updates in Excel
  • Scheduling and coordination of meetings along with mailings and correspondence.
  • Assist with prepping materials - scanning and maintaining files for internal and client meetings.
  • Communication with property manager to address maintenance issues
  • Ordering and stocking of Office and kitchen supplies.
  • Provide assistance with staff calendars if scheduling conflicts arise
  • Light cleaning in the kitchen and other common spaces
  • Assist with contract management securing signatures, mailing and filing
  • Point of contact for IT with technology issues
  • Travel arrangements flights and rental cars (including handling rebooking when flights are canceled) as needed
  • Work with the departments Business Development Professional drafting, editing, proofing, and finalizing proposals
  • Assist with new client forms as needed
  • Schedule lunch deliveries
  • Maintaining agendas for staff and leadership meetings.
  • Assist small projects with document formatting and filing.
  • Willingness and ability to learn new software applications. The following qualifications apply to this position in all firm offices:
    • Minimum 2 years office support experience
    • Be able to work independently, as well as part of a team
    • Heightened attention to detail, quality and organizational skills
    • Excellent skills with MS Word, PowerPoint, Outlook, with a focus on Excel
    • High School diploma or equivalent
    • Dedicated to internal and external client satisfaction
