Job Description:

We are looking for an Assistant Property Manager/Office Manager to help with our Real Estate Agency and property portfolio.Can be full or part-time. Must have great computer skills, troubleshoot computer issues, quick learner, and intuitive with computers. Knowledge of Excel, DocuSign, MLS Listing System, Google Suite...et. Must be willing to do more than office work (show apartments, clean...) if you have even more skills (painting, electrical...) that would be a bonus.Property Management and Realtor Assistant Job DescriptionMain objectives each day:--- Make sure all units are rented and/or advertised.--- Make sure all tenants have paid their rent, collect all rents due, send out "Late Rent" notices and/or eviction notices.Secondary Objectives:--- Log and track rents paid, and rent deposits made.--- Log and track all security deposits made, owed, due---etc.--- Track all leases that are expiring and due to renew and execute renewals.--- Write and post notices to tenants (for showings, inspections, unit entry for repairs---etc.)--- Communicate with tenants regarding issues, and track all communications.--- Be available and willing to show apartments and run background checks.--- Keep track, organize and make copies if needed of all keys to all units, buildings, and lockboxes.--- Keep track of all vendors (electricians, plumbers, plowing/landscaping, cleaning company, trash removal, carpenters, security companies, codes and alarms---etc.). and communicate with them as necessary.--- Write up leases (using the template) and obtain signatures, security deposits, and distribute keys---etc.--- Track insurance for each property and make sure bills (CMP, Unitil gas bills---etc. are paid and up to date).--- Manage files (tenant files, building expenses, inspection docs...).--- Pay Annual Corporate filings for each LLC--- Pay Annual Unit Registration fees and schedule inspections with the city.--- When necessary be available and willing to clean common hallways, laundry rooms, vestibules remove debris from driveways, common areas, and tenant parking lots.--- When necessary be available and willing to flip apartments (clean out the fridge, wipe down cabinets, clean bathrooms, vacuum hallways, wash linen and things for furnished apartments, rearrange and/or decorate units if needed for furnished units).--- Utilize Zillow, Facebook, Instagram, Hotpads, Craigslist, Apartments.com, and any other avenues to list and promote apartments and real estate sales, rentals------ Take photos of all units for rent or sale, edit photos, electronically file them and keep them organized.--- Utilize MREIS, MLS, NECPE, system to list real estate/properties, research and find comps--- Make sure real estate listings have all necessary documents attached (Deeds, P&S, Addendums, Agreements---etc.)--- Meet all deadlines--- Help prepare tax documents (collect data on each account with CMP, Spectrum, W2's---)--- Help prepare for refinancing by keeping portfolio/proforma up to date--- Open all mail that comes to the office and prioritize urgent mail, respond as necessary.--- Communicate daily, and as often as needed.
