Job DescriptionCompany OverviewSpectrum Healthcare Partners is Maine's largest multi-specialty, physician-owned and directed professional organization and is comprised of over 200 physicians practicing in the areas of anesthesiology, orthopedics, pain management, pathology, radiation oncology, radiology, and vascular & interventional services. Spectrum provides services at many of Maine's hospitals throughout the state and in eastern New Hampshire.Hours: M-F 8-4:30 (flexibility with start and end times)POSITION SUMMARYActs as a liaison between patients and the Clinical Areas by facilitating communication with physicians, mid-level practitioners, and other clinical staff while interactively coordinating surgical schedules, performing designated clinical functions, and providing general clerical support.

ESSENTIAL FUNCTIONS1. Coordinates and schedules surgeries per physician order2. Coordinates, assists and gathers all information needed for surgery and ensures that pre-operative preparation is complete3. Maintains smooth patient flow by scheduling pre-operative and post-operative appointments and updating all cancellations and add-ons4. Prepares surgical packets for office visits5. Triages telephone calls from patients by obtaining detailed history of problem and determining most appropriate action6. Maintains Providers calendars and schedules7. Completes disability claim forms8. Supports other staff with clerical/clinical duties as needed during staffing shortages or other designated periods of high volume within the department as time allows.9. Forwards payment policy or insurance questions to the appropriate person10. Assists in chart checks for missing informationPRIMARY DUTIES & RESPONSIBILITIES

  • Attend meetings, as assigned, and participate in educational activities to keep skills up to date

  • Is proactive in identifying, reporting and participating in the resolution of any potential or actual patient safety issues
  • Performs other duties necessary to maintain the overall efficiency and continuity of the clinicQUALIFICATIONS
    • High School diploma or equivalent
    • Knowledge of medical terminology
    • Experience in a hospital or medical office setting with scheduling experience helpful
    • Strong customer service skills, with pleasant/professional telephone voice
    • Excellent communication and interpersonal skills
    • Excellent organizational skills and attention to detail
    • Ability to work independently and as a member of a team
    • Proficient computer skills
    • Ability to maintain confidentialityPHYSICAL DEMANDS / WORK ENVIRONMENT
      • Daily use of computer operating instruments; stationary PC, Laptop PC, keyboard and mouse
      • Light lifting of paperwork, folders or other general record keeping materials
      • Operation of various office equipment: fax machine, telephone & voice mail system, stationary/lap top computer, e-mail system, scanner, and copier
      • Lifting up to 20 pounds occasionally, and/or up to 10 pounds frequently
      • Walks frequently
      • May be required to sit or stand for extended periods of time
