Job Description:
Job Description: The Sales Coordinator is a member of the
Orchard Cove senior living sales team. As Coordinator, they serve
as the secondary point of contact for OC sales prospects, handling
both phone and email inquiries. They tour potential applicants and
provide ongoing applicant support for Taste of Orchard Cove and
respite stays, repeat visits, luncheons, family conversations, and
product education. The Coordinator makes significant call-outs to
prospect lists to drive new volume and to nurture prospect
relationships, and tracks all activity in the customer relationship
management (CRM) database. Administrative duties include creating
sales promotional packets, handling mailings, and ensuring that the
sales suite presents a positive first image for prospects.
Responsibilities Makes significant outbound phone calls, with an
average goal of 15-20 outbound calls a day. This includes cold
calls for new prospects, calls to existing leads to invite them to
events and nurture relationships, and follow-up calls to ensure
accuracy of information in MatrixCare. Conducts tours for potential
applicants and their families. This includes independent living,
enhanced living, and also skilled nursing long term care. Serves as
the ongoing customer service liaison to prospects—schedules repeat
visits, participate in luncheons, family conversations, and product
education as well as hosts leads at community programs to which
they are invited to attend. Works with Waitlist members keeping
them warm and informed every other month to keep them abreast of
their position on the list. Handles new resident application
paperwork—collecting, scanning, organizing, and follow up with
family members and physician offices to be sure that all needed
information is gathered. Maintains sales material inventory
including collateral, floor plans, and applications; creates
packages of materials and mails them out as needed. Handles the
logistics for prospect visits, including the overnight “Taste of
Orchard Cove” experiences, pre-qualifying and qualifying overnight
stays. This can entail creating custom itineraries based on what a
prospect wants to experience and any needed assessments, setting up
meetings and meals with residents and staff, and ensuring the Guest
Suite is ready for a stay. Supports marketing campaign mailings as
needed. Represents Orchard Cove, and sometimes also the entirety of
the HSL organization, by staffing a table of collateral to answer
questions from any passerby at local and industry events that are
sponsored by HSL (this includes a wide spectrum of events from
local town road races and Council on Aging presentations, to
professional events like Aging Life Care Annual Conference and the
Alzheimer’s Walk). Serves as lead host for professional groups who
bring their events and meetings to Orchard Cove as a way of
introducing them to and building affinity with our campuses and
offerings. Responsible for inputting incoming resident data into
Answers on Demand (AOD). Provides administrative support to Sales
Counselors. Serves as the secondary contact for most telephone
inquiries. Conducts timely follow-up and tracking of web and email
inquiries. Assumes other responsibilities in relation to the above
functions as required. Qualifications Self-initiative to perform
successfully with moderate direct supervision. Ability to work
collaboratively in a fast-paced dynamic environment. Ability to
understand and communicate the OC continuum of services, amenities,
and financial options—and to a more limited extent, the rest of the
Hebrew SeniorLife portfolio of offerings. Personality traits that
exemplify customer service, patience, and empathy. Strong verbal
communication and listening skills. Organization skills and the
ability to coordinate multiple simultaneous activities. Candidate
pre-requisite requirements Proficiency in MS Office (Word, Excel,
PowerPoint) Strong verbal communication skills and good writing
skills Experience with a CRM is preferred Remote Type: On-site
Salary Range: $54,022.04 - $81,033.59
